Choosing filing and storage

Start by measuring your shelf depth and height. A standard A4 lever arch file needs approximately 320 mm of shelf depth and 75 mm of vertical space per spine. If your shelves are shallow, consider ring binders or document wallets instead.

Think about retrieval frequency. Lever arch files suit long-term archive storage where contents are accessed monthly. Ring binders work better for active projects that change weekly. Document wallets are ideal for transport and temporary sorting.

For shared offices, choose mixed colour packs so departments or years can be colour-coded at a glance. Always allow 10 to 15 percent spare capacity when calculating how many files you need.

Paper weights explained

80 gsm multipurpose

The standard office weight for everyday printing, photocopying, and note-taking. Suitable for laser and inkjet printers and folds cleanly for mailshots.

100 gsm letterhead

A heavier option for formal correspondence, certificates, and client-facing documents. Provides a more substantial feel but check your printer handles the extra weight.

120 gsm presentation

Ideal for covers, flyers, and handouts that need to stand up to handling. Too heavy for standard office printers but excellent for print-shop runs.

Recycled options

Slightly off-white with visible fibre content. Great for internal memos and environmentally conscious organisations. Check ink absorption before colour printing.

Desk accessory questions

Approximately 500 sheets of 80 gsm paper, depending on how tightly papers are punched and whether dividers are used.

D-ring binders hold more pages and allow them to lie completely flat, which is better for presentations. O-ring binders are cheaper but pages can bunch at the spine.

The adhesive strip makes them unsuitable for standard paper recycling. Remove the adhesive strip or dispose of used notes in general waste.

A3 desk pads suit creative and planning work where you need space to sketch. A4 pads fit neatly between keyboard and monitor for quick notes.
